Typical Job Duties

As an ESP Staffing Clerk your job may involve some or all of the following:

  • Making arrangements for relief staffing by performing duties such as receiving notification from staff and the program clerks, recording calls, making any necessary calculations to determine availability of existing staff such as staff/patient ratios, contacting relief staff and forwarding information to the manager/clinical area
  • Allocating and calling in relief staff to fill vacancies caused by shift changes, vacation, leaves of absence and sick leaves. You’ll perform duties such as utilizing a computerized staff scheduling system, processing requests in accordance with applicable collective agreements, and preparing revised relief staff schedules and forwarding them to your manager
  • Maintaining related records and documentation such as relief staff availability records
  • Maintaining timekeeping records for the office staff utilizing a computerized payroll system and submitting them to the Payroll Department
  • Liaising with Payroll about inquiries and making required adjustments, such as payroll corrections
  • Typing technical and non-technical material such as correspondence, procedures, memoranda, reports and minutes by utilizing various word processing software and transcribing from dictation and drafts
  • Setting up and maintaining a filing system for material such as correspondence, personnel records, and equipment and supply records by indexing binders, creating and labelling files, and filing material as appropriate
  • Maintaining office supplies by performing duties like monitoring levels according to pre-determined levels, and completing purchase requisitions and then forwarding them to your manager for approval
  • Compiling statistics related to Staffing Office functions and relief staff as requested

Program Admission Requirements

  • Completion of Grade 12 or equivalent
  • Passing Entrance Examination with a score of 70% or more (Canadian Adult Achievement Test:  Reading, Spelling & Math)
  • Passing formal entrance interview with a score of 70% or more
  • Successful completion of a short written essay
  • Verbal Test of English (if English is a Second Language)
  • Entrance typing speed of 30 wpm

Additional Program Requirements
Students must provide the following to their Program Advisor prior to program start:

  • Acceptable criminal records check
  • Acceptable medical examination report
  • Negative TB test or clear chest X-ray
  • Immunizations as required by industry at time of application

Duration and Financing

Duration: 20 weeks including practicum

Program Courses

Orientation and Student Success Skills
This course will provide a comprehensive orientation to Stenberg College and the program you have enrolled in.  As with all new things, there will be some challenges to overcome; however, with this course, you will become familiar with your new environment and the resources available for your use.  You will gain effective learning and study strategies and will participate in life skills exercises that teach communication, accountability, teamwork, self-awareness and build understanding of the impact you have on others.

Keyboarding
This course is designed to introduce students to the Windows environment and typing programs. You’ll focus on the development and maintenance of accurate
keyboarding skills and work to maintain the minimum typing requirement set by the program.

Computer Fundamentals
You’ll be introduced to – and gain skill working in – the Windows environment, as well as Outlook, Internet Explorer, and Excel. Special emphasis will be placed on using MS Word proficiently.

Advanced Keyboarding - Intensive Speed and Accuracy
In this course, you’ll participate in timed medical writings and speed drills using the computer. The goal of this course is to have you increase your medical typing speed and reduce your number of errors. At the end of this course, you’ll need to demonstrate a minimum typing speed of 40 net wpm on a five minute timed test.

Please note: in addition to this course, it is expected that you will spend a minimum of 2.5 hours per week performing speed and accuracy drills during set lab time. You must be at 50 net wpm in order to graduate from the program.

Office Skills for a Staffing Environment
This 2-week course covers a variety of office skills required for the Staffing Clerk to function proficiently in a healthcare environment.  The learning outcomes will provide you with the confidence, competence and practical skills necessary to ensure the safe, efficient, and organized management of the Staffing office.

Personal & Professional Development I
Stenberg’s Personal & Professional Development (PPD) Skills Series provides students with the foundational knowledge and awareness upon which to build lifelong habits of behaviour for distinguishing themselves as exceptional contributors to their personal and professional communities.  PPD I explores topics in self-awareness & communication.

Staffing Clerk Communications
This course serves as an introduction to the exciting and challenging career of a Staffing Clerk.  It provides comprehensive coverage of the theory and practice underpinning the Staffing Clerk’s responsibilities and will introduce you to hospitals, health authorities and healthcare in BC. You’ll examine all of the key communications tools and resources required for working in a Staffing Clerk position.

ESP Staffing Clerk
You’ll learn how to use Total Care Technology software to perform staffing duties, including allocating and calling in relief nursing and non-nursing staff to fill vacancies in accordance with applicable collective agreements. You’ll also learn to make arrangements for relief staff by receiving calls and making any necessary calculations to determine availability of existing staff, utilizing a computerized staff scheduling system. In addition, you’ll learn how to maintain timekeeping records for office staff utilizing a computerized payroll system and be taught how to maintain related records and documentation. How to perform clerical duties, such as typing material and how to set up and maintain filing systems, is another central part of this course.

Personal & Professional Development II
Stenberg’s Personal & Professional Development (PPD) Skills Series provides students with the foundational knowledge and awareness upon which to build lifelong habits of behaviour for distinguishing themselves as exceptional contributors to their personal and professional communities.  PPD II explores topics in Self Management Skills to Facilitate Work-Life Balance & Maintaining Connections/Embracing Diversity

Practicum
Your practicum will give you the opportunity to practice the skills you’ve learned in the ESP classroom, and to further develop and master those skills. This course will provide you with practicum experiences that will refine your skills to the level of competency required as an ESP Staffing Clerk. 

Personal & Professional Development III
PPD III explores topics in Leadership & Job Skills and builds upon what you will have learned in Personal & Professional Development II.
